If you feel like you are working for your POS instead of it working for you, you are not imagining it.
Most systems are built for a "standard" business that does not exist. The result is constant workarounds, frustrated staff, and messy numbers.
Here are the real questions business owners should ask before choosing a POS so you stop forcing your operations into bad software.
Q1: Will this POS handle my industry specific workflows?
A: Walk through your actual day from open to close. Tickets, tips, tabs, modifiers, split payments, discounts, special orders, delivery, appointments. If the rep cannot map every step on screen, the system will create friction later. Tools should respect how you already win, not make you rebuild your entire process.
Q2: How does it handle inventory the way we actually track it?
A: Do you sell by size, weight, variants, bundles, or ingredients. Make the system follow your real units and bundles. If inventory feels like a separate universe from what staff rings up, you will always be guessing on stock and margins.
Q3: What reporting will I actually use to make decisions each week?
A: You need clear, simple views. Top items, slow movers, hourly volume, staff performance, refunds and discounts. If reports are buried behind exports and spreadsheets, you will stop checking them. Good systems make the health of the business obvious at a glance.
Q4: How clean is the accounting integration?
A: Ask exactly how sales, taxes, tips, fees, and deposits hit your books. The goal is fewer manual journal entries and less time fixing mismatches. The right setup makes your numbers more transparent, not more complicated.
Q5: How quickly can new staff learn it?
A: Watch someone unfamiliar click through a sale. If they are lost in menus, you will pay in training time, mistakes, and slow lines. Intuitive screens protect your customer experience.
