Fast food giant McDonalds has executed this strategy, building digital kiosks into all their locations, providing them with greater flexibility to make adjustments to their menu instantly.

The proliferation of digital tools has also helped curate applications that focus on reservations, delivery services, and menu management into a single marketplace, reducing errors, costs, and delays for executing new opportunities. It’s important to ensure the prices displayed on your menu reflects the meal as a whole, not just what you want to pocket at the end of the shift. Before pricing, ensure you know exactly how much it costs to create the dish.

▪To accurately price your dishes, you need to identify three main points:

¶√• Direct expenses – this is the cost of all of the ingredients needed to create the dish.

¶√• .Indirect expenses – this is all outlying costs and overheads, including rent, salaries, utilities, and advertisements. The lower the overhead, the greater the profit.

Profit margin – targeted to be competitive and viable. According to reports, the average restaurant profit margin is around 3-5% but can broadly range from 0-15%.

The general rule of thumb regarding pricing is that your food costs shouldn’t exceed 30% of the menu price and that you should have a balance of high and low costs foods to create a reasonable profit margin.

Just like the overarching concept of menu management, it’s critical that you continually monitor the costs of ingredients as they fluctuate frequently. With the current environmental issues occurring across Kenya – droughts, fires, floods, and of course COVID-19 – it’s more important than ever before to pay attention to the prices you’re paying and the price tag that’s then presented to your customers via your menu.

▪“You can always incorporate an ingredient into more than one recipe, or feature daily specials that use items that would otherwise go to waste. For example, the trim on your expensive beef tenderloin doesn’t have to be garbage – grind it up and make burgers or meatballs, or make a stir fry out of what you’ve trimmed off,” she advised.

▪Advertise your changes once you’re ready to launch
There is no point spending all this time updating your menu if you keep it under wraps from customers. Whenever you add new, tasty dishes to your offering, advertise them to your customers and potential customers.

Have a blackboard in your venue? Write your new dishes in big, colourful writing.

Have a social media account? Upload attractive imagery with a thoughtful caption detailing the new additions and why you’ve added them to your menu.

How to Calculate Food Cost for a Recipe


Menu costs are an essential part of your restaurant’s profitability. You can’t just jot down a menu price and hope for the best. Calculating overhead requires you to play the role of recipe cost calculator.

You need to consider everything, from the ingredients to how long the item takes to prep and cook, in your cost per item.

Understanding the true cost of your menu items allows you to formulate a profit margin that is perfect for your restaurant. When you know the overall cost, you can follow food pricing guidelines to ensure that every dish provides you with a profit.

Restaurant food costing, also called plate costing, sounds simple. But you have to go beyond the basics to find the actual costs of each item.

¶. How to Calculate Food Cost for a Recipe
An easy way to calculate your costs is to:

√.Write down all of the ingredients in a recipe
√. Determine the cost of each ingredient in total (whether it be a 10lb bag or not)
√. List how many grams of each ingredient you have in a recipe
√. Divide the total cost of the ingredient by the grams of each ingredient

This sounds a lot more complicated than it is. For example, let’s assume you purchase a 10-pound bag of rice in bulk. The bag costs $15, or $1.5 per pound. We know that there are 453 grams in a pound.

If the recipe calls for 100 grams of rice, you would then divide $1.5 by 453 and multiply that sum by 100.

You would be spending $0.33 on rice per plate.

You'll go through each ingredient in the recipe adding up how much each ingredient costs per plate.

√. Add all of the ingredient costs to come up with your cost per plate.

Of course, you can use any measurement you want. If you were using ounces, you would divide $1.5 (cost per 16 ounces) by 16 (total ounces in a pound) to come up with your cost per ounce. In this case, the cost would be $0.09 per ounce of an ingredient.

√. But this is just the cost of the actual meal.

The ideal food cost is between 28% and 35% of the menu price. So, for easy calculation, let’s say that a dish costs $2.8 to create. You're just counting ingredients here, but we can easily determine that the menu price needs to be $10 at a minimum.

The ingredients ($2.8) cost just 28% of the menu price, and the remaining costs goes to your overhead:

Server costs
Utility costs
Cook costs
Food cost calculation is just part of the process because you have a lot of costs in a restaurant.

Tracking and Dealing With Price Fluctuations
If you track all of your plate costs today, you know that they can change tomorrow. A good example of this is the cost of milk.

¶. Costs have come down after rising for many years.

When costs come down, they go in your favor because profit margins rise. If costs rise, they’ll eat away at your profitability. It's important to keep food costs closer to 28% of the menu price to allow for a 7% fluctuation in prices.

You wouldn’t change your entire menu because the cost of one ingredient rose a penny or two per pound.

Instead, you should pad your menu prices using the average restaurant food cost for an item.

You should do a few things to keep on top of costs:

¶. Create a database of all of the key ingredients that you purchase (i.e. meats, avocadoes, etc.)
Create a pricing history of the items so that you know when item prices spike
It doesn’t make sense to adjust your menu pricing weekly due to fluctuating costs, but when costs are too high, you may want to:

¶. Remove certain items from the menu

Temporarily remove items from a menu
Another tip is to work with a food supplier that can lock in costs for a specific period of time. For example, the supplier may guarantee prices for a 30-day period. If beef prices rise, you may be able to substitute your high-end ingredient for another ingredient to alleviate issues with overhead.

It's important to stay on top of your ingredient costs to ensure that a menu item remains profitable.

If a menu item is no longer profitable, adjust your pricing or remove the item from the menu. Weekly or monthly pricing checks and additions to your database can help you take preemptive measures if the cost per plate rises above the 35% margin – or a level that’s acceptable for your profitability.

Increasing Profitability Without Removing a

√. Menu Item
You’ve done all of your restaurant food costing, but your profit margins are starting to shrink. Ingredient prices are rising, and you can’t cut back on staff. There are a few options that you have before nixing an item from the menu.

√. Portion sizes.
Take a hard look at the portion size you’re providing. If you find that the majority of guests take food home or discard food, it may be time to reduce the portion by 10%. A small reduction in portion size can mean a drastic savings in ingredient costs.
Substitutions. You have to be careful with substitutions, but they may be able to save you a lot of money. When a certain ingredient cost rises, you may be able to substitute for a similar brand or item without impacting the taste or quality of the food. Work with suppliers to be able to find items that you can substitute if prices rise above acceptable levels.
Alcohol. One way to increase the profits per plate is to sell alcohol. The costs are very minimal, and the profits are much higher on alcohol or wine than on many menu items. You may not be able to increase the menu price for an item, but you can increase spending totals with drinks.

¶. You can also decide to train staff to recommend menu items that have a higher profit margin. Specials of the day can be used to push these higher profit menu items to customers so that you’re able to recuperate some of the costs from inflated ingredient costs.

If you have a key menu item that is a go-to choice at your restaurant, you can’t remove the item from your menu. There are certain items that restaurants are known for, and these items will attract customers time and time again.

¶. When prices rise for these items, you may want to increase the price per item slightly.

Small price adjustments will often not deter patrons from coming to a restaurant. It's important to not surprise your patrons with a rate increase. If your menus are old and the price hasn’t been corrected, you risk losing a customer for life if you charge them more than what’s on the menu.

¶. You may also be at risk of false advertising.

Regular guests that come in weekly and order the same thing might not even ask for a menu. Servers should alert these guests to any price increases, too.
